Problem: Can I update Role names in Methodology Management by importing an XER with the updated values?
Fix:

Unfortunately when importing Roles, the import logic uses both the Role ID and Role name to match existing records in the Methodology manager database with the data contained in the XER file.

If you update either the Role ID or the Role name, then the import logic will not be able to match the updated record in the XER file with the existing record in the database, and therefore, the Roles in the database will not be updated.


This issue is an existing Enhancement Request. It will be considered for a future release.

Problem: Why does an asterisk (*) appear next to the date in the Start or Finish column when no constraints have been applied to the activity?
Cause: The asterisk appears if the activities have relationships to external projects.  When exporting a project, the external relationships are not included in the XER file, unless the other project is exported too.
Fix: The external relationships do not appear in the Predecessor / Successor relationships window, however, the asterisk remains in the dates column. 

To schedule the activities back to the Data Date, thereby ignoring the external relationships, go to Tools, Schedule, click on Options (or Advanced) button and select ‘Ignore relationships to and from other projects’.


To remove the asterisk, thereby removing the external relationships, add two columns to show the ‘External Early Start’ and ‘External Late Finish’ and remove the external dates from these columns.  Next, reschedule and the asterisk will no longer appear in the Early Start and Early Finish columns and the dates will not be held in the future.

Problem: Project has different data than the last time it was opened
Fix: Sometimes there is confusion between the Primavera Contractor program shortcut and an XER backup file.

If a user double-clicks an XER file, it will open up Contractor and automatically start the Import wizard.  Sometimes users think that this is supposed to happen and go through the Import wizard and click Finish.  The result is that they inadvertently restore a backup of a previous version of a project, overwriting their previous work.


One way to avoid this is to always open Contractor from the Windows Start Button and never opening Contractor from the desktop.

Cause: There is no value for the calendar type field in the CALENDAR table.

Fix: Use prim4145: XER Parser Builder to view the XER.

Select the Calendar tab and populate the clndr_type field with one of the following values if blank:


CA_Base for a global calendar, CA_Project for a project calendar or CA_Rsrc for a resource calendar

2. Open the XER in Notepad and then do a Find for Role rate.


3. Locate a role rate value greater than one or a Role rate count greater than one.  If so, change this value to an appropriate number then save this new XER and try and import again.

Problem: Scheduling/Leveling options are carried over when a project is exported to XER, but revert back to default options when imported back to the database with Import option set to Create New, Replace Existing or Add into Existing.

Note:  Choosing Update Existing imports the correct scheduling options

Problem: When exporting to XER, the scheduling/leveling options are correct when the file is opened but on importing back they revert to the default options

Note: The setting for ‘Define Critical activities’, because it is defined on the Settings Tab in the Project Details. Which then updates the Schedule Options setting


Note: This screen shot represents the Default Settings


Cause: The scheduled dates are not the same when the project is exported and then imported. This could happen because the scheduling options for the project are not imported, the scheduled dates (such as early and late) could differ for the project.

Example: The setting for progress override could have been changed from the default of retained logic to progress override. In this example, before export the activities would be scheduled with progress override. After import, since the settings would revert back to the defaults, the activities would be scheduled with retained logic which could cause different scheduled dates than when using progress override.

Fix: This known problem in Project Management is currently under review and may be corrected in a future release.

Fix:

Note: As with any Global Change, Primavera recommends that you have a current backup of your database.  As an alternative, export the project(s) out in XER format before running the Global Change.


Note:  Please be aware that the planned dates are used in many areas of the software and that changes to these dates should only be made if the impact of such a change is fully understood.  Any or all of the following fields may be affected if the planned dates are changed:



Original Duration
Baseline Start, Finish and Duration
Baseline variance fields
Earned Value.


Set up one Global Change as follows:

Then Planned Start = Start



 


Set up another Global Change as follows:



Then Planned Finish = Finish



Alternatively, a single global change can be created to change both the planned start and planned finish at the same time, as follows:



Then Planned Start = Start
And Planned Finish = Finish



View the Global Change Report to identify all affected activities.  Committing changes cannot be undone.


Note:  Finish Milestones cannot be altered for the Planned Start global change.  Start Milestones cannot be altered for the Planned Finish global change.  This is as designed, since Start and Finish Milestones do not have Planned Finish dates and Planned Start dates, respectively.

Problem: Costs incorrect after importing from P3
Fix: When importing a project from P3, the costs will be imported using the Base currency.  This can cause the costs to appear incorrect if working in a different currency.

This issue is an existing Enhancement Request.  It will be considered for a future release.


Workaround 1:


When importing the P3 Project, launch Windows Explorer, and browse to c:\Program Files\Common Files\Primavera Common\Convert, and launch ‘P330XERConvert’

Run through this utility which will convert the P3 project to an XER file.  Then, use the Import wizard in Project Management to import the XER file. On the ‘Currency Type’ screen of the XER import wizard, select your ‘working’ currency.


Workaround 2:


Change your working currency to the base currency for the import, then change it back again after the import.


You can change your working currency by going to Edit, User Preferences, Currency.  Remember to change your currency back again after the import!

Problem: When exporting project data to XER, MPP, MPX or XLS, can all projects be easily unchecked in the ‘Projects to Export’ window?
Change: A suggestion for an easy way to uncheck all projects is to have a “Clear All” button in the window.
Fix: This issue is an existing Enhancement Request. It will be considered for a future release.

You can quickly click in a single spot to deselect each of the projects to export in P6.


Sort by Export ascending (arrow pointing down) then click in the last export cell but not on the checkbox. The unchecked project will sort to the top allowing the next click action to uncheck the next export project in line. Keep clicking until all projects are unchecked.

Workaround:


Use the XERfileParser&Builder.xls to open the XER.  Then use it to create a new XER that can then be imported into 5.0.


Note: With the updated Parser utility, it no longer asks you the version of the XER to create.  So after creating the new XER, you will need to open the XER in Notepad and change the version on the first line from 2.0 to 5.0, then save it and you should be able to import.

Problem: When using P330XERConvert.exe, an error message appears that the file cannot be found.
Problem: When using P330XERConvert.exe, the error log indicates, “COM exception caught.  Value = 0.”
Cause: When running P330XERConvert.exe and trying to use a P3 file that was saved anywhere but on C:\P3Win\Projects, the following error will appear after you click “Next” to proceed to the XER File Name screen:


It will still be possible to complete the process, but the resulting XER file will not be useable.  The error log will contain the following information: 


Source Project:  C:\TESTFO~1\ADOT
User Name:      
Target File:     C:\test for p330XERConvert\test for error.xer


COM exception caught.  Value = 0.
COM exception caught.  Value = 0.
Error: Bad argument.

Fix: Save the P3 file that you need to convert to the default location: C:\P3Win\Projects.  Save the XER output file to this location, as well.

Fix:  

 Update Existing Project



  • The existing project is updated with any new/modified data in the XER file; adds new data if the record does not exist 

  • All currently open projects will be listed

Create New Project



  • The existing project’s data remains the same and a new project is created


*NOTE – You must select Create New if you want Project Management to import past period data.  If you choose any other option, past period actual values are not imported.  If you select the Create New option, past period data will only be imported if the defined financial periods are EXACTLY the same in both databases


Replace Existing Project



  • The existing project is deleted and replaced with the project imported from the XER file


*NOTE – Baselines and Timesheets assigned to the project are deleted when using this option


Ignore this Project



  • The project is not imported into Project Management

Add Into Existing Project



  • You can merge the project you are importing within an existing project.

  • You need to select a WBS within the project.

  • The imported project is appended to the selected WBS

Fact: The XER file is imported into a database or project, where the Activity Codes already exist.
Problem: Why are there duplicate Activity Code values after importing an XER file, either as a new project or updating an existing one?
Problem: Once the XER file is re-imported, the Activity Code values are duplicated again.

Fix: This known problem in Project Management has been corrected in version 5.0 Service Pack 2.

Problem: Why is Budgeted Cost not linking to Units after importing a project from P3?
Problem: How to create a Global Change to checkmark Cost Units Linked for all Resource Assignments. 
Cause: By default, Resources that had Costs linked to Units in P3 are imported to Project Management with this setting checked in the Resource dictionary:


However, on the Resource Assignment level, this setting is not checked:


 

Fix: There are two options to have Costs linked to Units on existing Resource Assignments:

Option #1:


Checkmark “Cost Units Linked” on the activity’s Resources tab. A prompt will appear, asking to confirm this selection. Click “Yes.”


 


Option #2:


Note:  The following Global Change will add the cost units link for ALL resource assignments.


Note:  It is strongly recommended that you have a current export of the project(s) in xer file format before running any Global Changes.


If all assignments need to have the Costs linked to Units, it may be easier to run a Global Change to accomplish this.  Create the Global Change as follows:


1) Select a Subject Area of “Activity Resource Assignments”


2) Create a statement, “Then Cost Units Linked = Yes”

3) Click on Change

4) Review the Report to make sure that these are the expected results and then click on “Commit Changes”
